Small trucking business beware - In our experience Walthall Oil is too big to care about you. We buy ~1000 gallons of fuel per month from Walthall and they treated us like we were nobody. They gave our security information to a 3rd party subcontractor, gave them permission to come on our property without notice, and took thousands of dollars in paid-for fuel.
Internally, they need some serious IT help. The payment portal is a nightmare to use, their internal software must be just as bad. Expect to have to do extra work to pay them, no automatic payments & no portal, you have to fill in a form on their website and tell them which invoices you are paying for. Good luck getting the invoices, their emails do not deliver both ways, we spent so much time with their office assistant trying to get it to work. This is the old school type company that would rather blame someone else instead of investing in their people, technology and process.
Relationship end:
They did not receive payment for a couple of invoices, their office was calling our busy sales line instead of the admin number we provided. Finally the account manager called the correct number on Aug 22nd to let us know, we immediately paid 50% of the balance and the remainder less than a week later. On 9/4 we got a call from a tow truck telling us it was on the way to pick up the fuel tank Walthall provided. They gave our secured gate code to a 3rd party to retrieve the tank instead of telling us they were coming, so we could let them in. The 3rd party left our secured lot wide open and took the tank with thousands of dollars in paid for fuel. Walthall rebated us at 75% of the price we paid just a week earlier and for less than we had in the tank. They charged a $395 pump out fee, $9.95 Environment fee, and $31 in sales tax on the refund. We did everything on our end to pay them hastily when we were notified, its a shame that they would choose to take this extreme, unethical approach instead of getting in touch with the right people. I have attached the statement they followed up with.
Important to note for people really considering their service. When we switched over to them they offered what seemed like great rates, eventually this evened out to at-the-pump prices. The salesman did not tell us about a $500 tank delivery fee and it took some effort to get them to remove that charge that was not listed or told to us upon signing the contract.
We have discovered some better options without having to look hard, it's worth considering other options that will provide a better all-round vendor relationship.
